How do I submit an abstract?
Please send an abstract of no more than 250 words to RGSMidterm@rhul.ac.uk   using the subject heading “2018 RGS Postgraduate Mid-Term Conference”. Include your full name and university along with four keywords, and your intention to present a poster or paper.

Will I receive email confirmation of my abstract submission?
Yes, we will your confirm abstract submission by email as soon as possible after it is received. You will not receive an automated email confirmation, so this may not happen immediately.

Do I have to become an RGS member in order to submit an abstract for the Conference?
No, you do not have to be a member to attend. However, RGS membership has many benefits for postgrad researchers – have a look here.

Are abstracts or paper presentations published?
No, but all abstracts will all be printed in the handbook given out as part of the conference pack.


Where and when do I register for the conference?
You can register online for the conference following this link. Specific details about when and where to register at the actual event will be confirmed nearer the conference.

What does my conference registration include?
Your registration includes access to all keynote lectures, academic sessions and workshops; it also includes a delegate pack, lunches, refreshments during the day, wine reception and conference dinner.

What is excluded from the registration fee?
Delegates need to cover the costs of their own accommodation and travel, breakfasts, and evening meals on the 19th and 20th.

How can I find accommodation for the conference?

There is accommodation on campus, with a discounted rate for those who register. Details can be found here. Otherwise there is a Travelodge in Egham, although booking in advance is recommended.

Can you cater for people with specific dietary or accessibility requirements?
Yes, we can cater for people with different dietary and accessibility requirements. When registering you have the opportunity to specify what your requirements are and we will make the necessary adjustments for you.

Conference structure

Is there a theme for the conference?
There is no theme for the conference and we hope to be as inclusive as possible to all research areas. This extends to both presentations and poster submissions- everything is welcome!

Will I have a chance to meet people researching similar areas of interest?
The event is planned to encourage interaction. There will be a number of sessions organised according to sub-discipline and theme to facilitate engagement with like-minded researchers.

Presentation sessions

Do I have to present at the conference to attend?
No, you are able to register without submitting an abstract. However, we would strongly encourage attendees to take advantage of the opportunity to present or submit a poster!

Do the committee encourage particular types of abstracts for presentation?
Abstracts are welcome from all geographic approaches and disciplines. However, we particularly encourage students who have not presented at other conferences and want a friendly and supportive environment in which to present.

I am unsure whether I have enough data to present- does this matter?
We encourage abstracts from postgraduates at all stages of their research. Therefore, presentations informed by existing literature, methodological or theoretical approaches are welcomed as much as empirical based ones.

What format do the presentation sessions take?
They will most likely be made of four presentations, each with 15 minutes to present and five minutes for questions and feedback.

I would like to use a computer during my presentation. What should I do?
All the rooms have computers. The majority of presentations will probably use Powerpoint, Prezi, or other standard software (though you don’t have to!). Please ensure that you bring your computer file on a memory stick and be prompt to your session to load it onto the computer before the session commences.

I’d like to present a poster. What size should it be and what should I do at the conference?
Posters should be A1 size and can be either portrait or landscape. Please hand your poster to a member of the organising committee when you register (either Wednesday evening or Thursday morning). The posters will be on display in the coffee break room for the whole conference and on the Friday morning, during a prolonged coffee break, you will have a chance to discuss your poster. Your poster will be returned to you at the end of the conference.t


Can I attend only part of the conference?
Yes, you may attend only part of the conference. However, you are still expected to pay the full registration fee (£60) and to register either on the Wednesday afternoon, or Thursday morning.

I am no longer able to attend the conference. What should I do?
Unfortunately, we are unable to offer refunds upon completion of registration. However, if there are any issues, do not hesitate to contact our committee.
